We are looking for an Operations Manager/Business Assistant to provide direct support to the Founder of a Luxury Interior Design Studio. The Founder’s vision is to enrich the world with beauty by crafting unique spaces for private, residential, and commercial clients in Russia and beyond. What you will do: Tasks distribution: 90% business / 10% personal Provide daily support for business-related tasks. Systematisation and time management: Effectively plan and organize tasks, set priorities, and manage a dynamic business schedule. Ensure tasks are completed on time and meet deadlines. Assist with long-term planning and coordination: Proactively manage operations and processes to support the business. Event coordination: Organise business events, including exhibitions, client events, and corporate holidays. Handle logistics, such as coordinating couriers and service providers (e.g., flower deliveries). Manage official communications with both local and international partners. Presentation development: Create clear, aesthetically pleasing presentations. Collaborate with designers to produce visual materials as needed. Manage operational tasks using task trackers and other digital tools. Work closely with team members, including the personal assistant, to optimize operations. How your day may look like: The product launch event is taking place in the heart of Moscow. You'll handle the full organization, from booking the venue and selecting catering options to confirming the guest list. Additionally, you'll ensure all promotional materials and products are delivered on-site and take care of logistics like transportation and parking to make sure everything runs smoothly. A high-priority shipment, including exclusive product samples for VIP clients, has been delayed. Your task will be to work with the delivery service to find an alternative solution and quickly inform both clients and the executive team. You’ll need to ensure the situation is resolved swiftly to minimize any negative impact. The deadline for a key project has been moved up. You’ll need to quickly update the task tracker, reassign responsibilities, and notify the relevant team members. It’s important to ensure everyone has clear instructions and that the new timeline is achievable. A crucial negotiation with a potential client is coming up. You’ll assist in preparing a compelling and visually engaging presentation that aligns with the company’s offerings and objectives. Collaborating with the design team, you’ll ensure the content is clear, cohesive, and tailored to effectively communicate value and build rapport with the client. The ideal candidate will have: 3+ years of experience as a Business Assistant or Operations Manager. Fluency in English (C1/C2) and Russian. A great sense of taste. Familiarity with luxury brands and services. Residency in Moscow, Russia (MUST). Proactivity, curiosity, and flexibility, with the ability to work independently and with minimal direction/context. Tech-savviness. A good sense of humor and a can-do, encouraging attitude.
